What are user access tags?

User access tags allow you to set specific tags to users within your account and then apply these tags to screens, schedules, playlists & assets. This means that when the user logs into your project, they will only see screens, schedules, playlists & assets which share the same tag as them.


This is a effective way for multi-user management and ensuring that each user will only see the information which is relevant to them when accessing the platform.


Please follow the setup process below to use this feature:


1. Access the tag manager - Firstly, access the tag manager by going into one of your NowSignage projects and clicking 'tag manager' in the left sidebar of the platform:


2. Create your access tags - In the tag manager, you can create your tags within the 'add new content tag' box. To do this type in the name of the tag you wish to create and click 'add'. You can create as many content tags as you need, the example below is using location based tags, however you could call them whatever you like:

3. Assign the tags to usersThe next step is to tag your users. Do this by clicking on the 'Users' heading and ticking the box next to the users name (this can be done for multiple users at once by ticking more than one user or the box on the left of 'apply tags'):


Now you have selected the user, click on the 'Apply Tags' button. You will then be taken to this area:

Then click the tags on the left which you wish to add to your screens and click the 'add tags' button to save the update.


Now if you go back to users list in the tag manager area you can see an overview of which tags have been applied to a user:



4. Apply access tags to screens, schedules, playlists or assets - The next set step is to apply access tags to the areas of the platform where you wish to restrict access. For example, this is the method for tagging screens:


In the tagging area, click on the heading of the area you wish to apply a tag (e.g. Screens). Now select the tick box of what you would like to tag (you can select multiple items at once if needed), then click add tags and you will see the below area:


Then click the tags on the left which you wish to add to your screens and click the 'add tags' button to save the update.


As you can see in above example, two screens have been selected and one access tag has been applied to them. Once this has been applied any user with the 'manchester' access tag assigned to them will be able to see any area of the platform which has been assigned the 'manchester' access tag.


Once your tags have been applied, within the tag manager, you will be able to see a list view of each area of the platform and what access tags have been applied to each area:


The same tagging concept applies to when tagging screens, schedules, playlists, images & videos. 


Please note  - If you leave something untagged it will be visible to all users. To truly limit access you will need to apply you tag to all relevant areas so that when that user logs in they will only see things that are tagged with tags applied to them.



FAQ:


1. How to remove tagsIf you wish to remove a tag simply go into the tag manager and select the area you wish to remove the tag from. For example for 'Screens' click the tick box on the screens you wish to edit the tags on and select 'Remove Tags'.


You will the be taken to this area. Here you can see what tags have been applied. So all you need to do is select the tags you wish to remove on the left and then click the 'Remove Tag' button.
